Help me create a Distribution list for inter-office use

[quote user="famme"]

Well I followed that step and I still cannot see my system.pm! or .pmr

However, I have located the default personal.pm! and .pmr files.

Is it possible to edit this default "personal" addressbook and follow the steps you have given me so everyone can have this addressbook?

Thanks so much for your help thus far.

Really strange.  In any case if you copy these two files to the same location as the WinPMail program file (winpm-32.exe)  then it will show up as both a personal and system addressbook for you.  It will be available to anyone running that copy of WinPMail as a system addressbook.

Hi I need to create a Distribution list for all staff members to refer to.  I am in charge of creating the list and then everyone else will need to add it to their own accounts.

Pegasus Mail is installed on a network drive on a server.  So can I set this up from my account and make it possible for other people to just add the same distribution list when they wish to?

I need some directions to help me get this setup and working as fast as possible.

Thanks so much

If all are running the same copy of the program then just create the dist. list and then hit the "System-wide (visible to all users)" block under settings .  If there are some that use a different copy of the program then you'll need to set a PML environment variable on their systems pointing to the directory where the dist. list PML file is located.

My mistake, it is to be an Addressbook.

Sorry for the mix up.  Are the directions any different?

Yes.

Creating system-wide address books

Address books consist of two files - name.PMR and name.PM!, where name is any filename. To create a system-wide address book, copy both files for the book into the same directory on the server as WINPMAIL program EXE file. Alternatively, copy the files into a public directory then set a DOS environment variable called PMR which points to that directory. If the address book is large and changes little, consider creating a secondary index for it using PMSORT.EXE - this will markedly speed up the process of opening the book.

I have started the addressed book and saved it as addbook.

I see a file named addbook saved in the same folder as winpm-32.exe which is the application file.  This is where it should be correct?

My issue is here:  I'm not sure if the file (addbook) is in the format .PMR or .PM!. According to the properties >  type of file reads : file.

There is no other file in this folder called "addbook" so I am assuming I am missing one of those 2 files..  What should I do from here?  Does this need to be done on the server itself or can I do it from any workstation (as the admin.)?

FYI our PMAIL is v.4.41

1, Use Help | About Pegasus Mail | Info and note the program and home mail directory.

2.  Create the addressbook, name it "System Address Book" and give it a filename of "system".  Fill in data as desired.

3.  Go to the home mail directory and find the system.PMR (data) and system.PM! (index) files.

4.  Copy (or move) the system.PMR/PM! files to the WinPMail program directory.

5.  Now you should see a new addressbook in blue called "System Address Book"

Hi there,

Back again to get this working.

In response to your reply:

Step 1 - followed instructions, noted path - no problem

Step 2 - Created a new addressbook with the names you gave, and filled some data (name, email address) of 6 contacts

Step 3 - Located my home mail directory no problem, but could not locate system.PM! or system.PMR, Please note that I sorted all the files by "Type" and there was no "PMR file" but there was a "PM! file" why is this?  I tried closing out of PMail and reopening it but could not find either system.PMR or system.PM!.  I clicked refresh within the home mail directory and neither file showed up.  I will try logging off the server under my account and logging back in, but I am not convinced this will work.  If it does, I will post back within 10 minutes.

Step 4- Could not be followed, as I couldn't locate the proper files, I did locate the default addressboook : personal.pm! (not personal.PMR though) but system.pm! was nowhere to be found

If you have an addressbook you have both of these files in your home mail directory.  Can yuo even find a file with the root name system?  With the windows  you are hiding registered extensions on files, you need to turn this off.  See the attached graphic for details.
